GUIDE TO USING TEAMS IN FLEXMLS

A  feature benefit of Teams is the ability to add & edit team listings from your own login account.

A TEAM ACCOUNT AVAILABLE AS A MEMBER IN ADD LISTING

All add and edit listing changes are done from your own login for team listings. To add a team listing, go to the Add Listing screen and from the Listing Member field, you will now have a drop-down option to select the Team account name as the Listing Member.

Any member of the team can add a team listing from their own account. Once it is added, any member of the team can make edits to any of the team listings including changing the status, list price and other details of the listing. The changes to the Team listing will reflect in the history of the listing under the individuals team members name who made the change.

Members retain the ability to add listings independent of the team. Refer to your team guidelines.

ADD LISTING (SINGLE FAMILY)

A new field called Team Listing Contact is now available for use with team listings. It has been added to identify the member of the team who signed the Listing Contract and is the person to contact from the team for a specific team listing.
This field is strictly for TEAM USAGE ONLY and the Team Listing Contact (TLC) must match the Best Practice formatting should be comma delimited and include the contact name, phone number and/or email address.

NOTE The field is restricted to 50 characters in size.

Another team feature adds a Team column in the My Listings gadget that is available to all the members of a specific team.

TEAM LISTINGS AVAILABLE IN THE MY LISTINGS GADGET

The first column is your individual listings and the second Team column is all Team Listings. Anyone on your team can access the Team listings to make changes from their login account.
All members can use  Office/Member Search  to find Team Members of a specific Team Login that has registered their team with Metro MLS.
Since all team names require  Team*’, Group*  as part of the name, simply search for Team,* Group,* or just * to bring up any approved, registered  Team Logins. Then scroll to the bottom of the Results screen for the  Team Logins  that have registered with Metro MLS or search by a specific Team Name.

OFFICE/MEMBER SEARCH

Reports and Statistics are tied to the Team Member Account. So if a team member joins or leaves the team, the statistics always stay with the Team Member Account and NOT a specific member of the team.
All members can use  Office/Member Search  to find Team Members of a specific Team Login that has registered their team with Metro MLS.

Since all team names require  Team*’, Group*  as part of the name, simply search for Team,* Group,* or just * to bring up any approved, registered  Team Logins. Then scroll to the bottom of the Results screen for the  Team Logins  that have registered with Metro MLS or search by a specific Team Name.

  • Listing Detail Reports will show Listing Member as Marvin Hardy Team with the profile information provided for the Team Member Account. In the example below, the Team Member Account is ‘Marvin Hardy Team’ and listing reports will display the primary email address and phone number submitted with your team application
  • The Team Listing Contact will display above the Team account name on listing detail reports
  • Any statistics generated for members will show team member account statistics in the same report as any individual member. Since ‘Team*’ or ‘Group*’is part of the naming convention, anyone can easily distinguish  ‘Team’  member statistics from individual member statistics. Team member statistics will also be reported in Ranking Members using the Market Share comparison type
 NOTE:  The * following Team or Group will easily distinguish Team account statistics in member statistical reports.

BEST PRACTICES

Properly Identify Yourself

Clearly identify Team Listing Contact followed by the Team* or Group* Name on the Listing Contract, Offer to Purchase and other pertinent documentation. Remember, the Agent signing the Listing Contract is identified as the Team Listing Contact.

Example:
Rosie Realtor, Marvin Hardy Team*

Use a consistent format when filling in the Team Listing Contact in the Add Listing screen. Provide team member name, a primary phone number and e-mail address that is comma delimited. This format assures that if the field is ever converted for other uses, it can easily be parsed:

Team Listing Contact field will be displayed on every Listing Detail Report.

Work Smarter Not Harder

Create a view that includes Team Listing Contact for ease of perusing search results. If you need assistance creating a view, please contact Metro MLS Technical Support.

Please notify Metro MLS Data Integrity/Membership of team members needing to be removed or added by 3PM during normal business hours using Team Change Form. If this is an immediate need, your best option is to follow up with a phone call.

3rd Party Products

ShowingTime: Team members can add showing instructions and directions to team listings from their own login. Metro MLS staff will update team profile account in ShowingTime to provide correct permissions.

Sentrilock does recognize teams and many teams are already utilizing this feature. There is nothing you need to do in flexMLS. Please contact your association for questions pertaining to Sentrilock

FAQs

What is a Team?

Two or more licensed agents working together within the same brokerage, and marketing themselves as a “Team”, “Group” or similar collective word.

Who can be considered a Team?

Two or more active licensed agents working together within the same brokerage, can be recognized as a team in flexMLS.

What is the Team account used for?

A team is an account created in which members can be assigned to in order to share certain privileges and information. This allows all team members to access team listings for adding and editing purposes from their own account. *Eliminating shared user name and passwords.

Is registering my Team mandatory?

No.

Team Login is not a mandatory membership type. However, the only way for a team (group, collective, etc.) to be recognized as a team is by registering the team with Metro MLS. Registering a team is the only way Metro MLS will recognize a team, meaning teams that operate and advertise as a team or group but do not register will not be able to enter listings as a team, therefore will not have team statistics. All team listings entered must be for a registered team or they will only be entered into flexMLS via the agent that signed the contract. User Name and Password Sharing Is Not Allowed.

If we chose not to register our Team, what happens?

Nothing. However, the only way for a team (or group) to be recognized as a team is by registering the team with Metro MLS. Registered Teams can add/edit/change listings for a team or as an individual agent. Unregistered teams cannot add/edit/ or change listings under a team lead or with using a shared login and password. In order to get the full benefit of production numbers and reporting including stats, a team must be registered with Metro MLS.

How is a Team utilized?

Once a Team is set up, or someone is added to a Team, they will have access to edit and manage any listings assigned to the team member account itself. This will allow them to change the status, list price and other details of the listing. This can be done from either their individual login account.

Who should be the Team Lead?

Team Lead should be the primary or responsible contact person for the Team. Team Lead will submit a primary phone number and email address to be used in Team Member Account’s profile. 

Do I need the username and password to access a Team account?

No.

Each member of the team can log in using their own login to access Team listings to Add or Edit.

As a new member of a Team, what changes will I see in Flexmls?

Being added to a team will add a “Team Listings” option under the My Listings gadget for each member of the team.

Who can edit the membership of a Team?

Only the MLS and others with membership maintenance privileges can edit the members of a team. A Team Change form must be submitted to admin@metromls.com

Can historical listings be transferred to the Team account?

Kinda. Historical data from the start of the current year, or creation of the team (whichever is most recent) will be transferred to the team account for statistical purposes. All current listings at the time the team is created will be transferred to the team account. This includes Delayed, Active, Active with Offer, Pending, and Withdrawn listings.

What name will display on Listing Detail Reports for a Team account?

When accessing Team properties, the listing member information will display for the team login itself and not list the individual team members.

How do I search for members of a team?

Navigate to Office/Member search and search for the Team Name:

How do I run reverse prospecting on team listings?

The office assistant can run reverse prospecting from the office login. Currently, team members can only run reverse prospecting on their own listings, not on the team listings.

What contact information is syndicated with the listings?

Team Member Account Information: Your team member account name, the primary phone number and email address submitted with your application is used in the Team Member Account’s profile and is syndicated with your listings.

How do I add Team Listing Contact info to an individual listing if it’s different from the lead contact?

Specific listing contact information can be added to the Team Listing Contact (TLC) per listing. This specific field is for the use of registered Teams only. Please include the Team Listing Contacts Name, Phone, and email, all comma delimited & up to 50 characters.

How do we add a new team member to an existing Team account?

Submit a change form. With the change form you can add, delete and dissolve a Team.

Can a member of a team add a listing as an individual agent separate from the team?

Yes. Team members can add listings as part of the team and as an individual, however individual listings will not be counted as part of the team production.

Is there a registration fee for TEAMS?

No.

Is there a monthly charge for Teams?

Yes.

A monthly charge will be billed for teams, it covers reasonable administrative and maintenance work.

How does registering a Team help with statistical reports?

All “Team” listings are entered under the added Team feature which accurately reports team statistics by utilizing the data from the Team account. Registering a team is the only way Metro MLS will recognize a team, meaning teams that operate and advertise as a team or group BUT do not register will not be able to enter listings as a team, therefore will not have team statistics. All team listings entered must be for a registered team or they will only be entered into flexMLS via the agent that signed the contract. User Name and Password Sharing Is Not Allowed.
